Purpose of the position:

 

The Senior Purchasing Manager is well experienced Purchasing Manager with a co-ordinating function and leadership potential within the department. 

The manager is the second in the line of command within the Purchasing Department after the Head of Purchasing. Has a large business impact and contributes to formulating the processes and strategy of the department. On the organizational level supports the department in achieving the high level company objectives influenced by the Purchasing function.

While the Purchasing Manager is mainly focuses on project delivery and cost saving, the Senior Purchasing Manager in addition to that, has an understanding about the department and the purchasing function’s role in the bigger scheme of things within the organization, (its political relations within the organization, future development areas, value add efficiency improvement, policy shaping, etc.) and contributes to the development of the department from these aspects as well.

Regarding co-ordination and leadership point of view the Senior Purchasing Manager provides guidance and senior advice to the Purchasing Managers in general functional, policy related and technical matters. Co-ordinates the work and supports the professional development of the Purchasing Managers, the Purchasing Assistant and Purchasing Intern

 

 

Responsibilities:

 

 

  • Leadership functions
  • Contribute to the strategic development of the Purchasing Department with impactful recommendation and sound execution
  • Serve as a co-ordinating/advisory role for other Purchasing Managers in professional and technical matters by providing senior inputs
  • Manage the tasks of Purchasing Assistant and Purchasing Intern
  • General procurement
  • Actively contributes in Purchasing department development, improving its processes and introducing new digital solutions
  • Lead high value, interdepartmental and strategic tenders
  • Conduct interdepartmental alignment meetings and interviews for need assessment
  • Create tender and evaluation documentations (RfP, RfI, etc.)
  • Identify and conduct market research on potential providers
  • Handle queries and questions of providers
  • Engage in extensive negotiations with providers
  • Project manage multiple procurement projects in parallel at different size and complexity
  • Compile financial calculation and build Excel models for proposal evaluation
  • Prepare end-products and deliverables (presentation, executive summary materials, etc.) for senior management decision making
  • Lead the service contracting process in cooperation with other departments
  • Secure the compliance with internal approval procedures
  • Handle executed contracts and ensuring the Company’s contract inventory being up-to-date
  • Ensure on-time delivery of all procured services/projects and avoid any operational, business continuity or cost exposure related risk associated with the purchasing function
  • Involve, inform and update the Head of Purchasing about the development of all tasks and projects
  • Create and update with the necessary diligence the required reports for the management
  • Conclude all administrative task associated with any competitive provider selection processes, contract renegotiation, contracting, contract handling, reporting or other thereof as associated with the role
  • Use any Information System associated with the role with the necessary skills and care 
  • Support the creation and change of internal procedures and automation tools
  • Conduct business trips as required for the execution of tasks and delivery of projects 

 

 

 

 

Requirements:

 

 

  • College/University master’s degree with 5+ years of work experience
  • Strategic procurement, project management or management consulting background is an advantage
  • Verbal and writing proficiency in English
  • Strong communication skills for negotiation, presentation, interviewing and any written information exchange
  • Strong interpersonal skill to be able to efficiently communicate, built relationships and cooperation and this way drive the projects forward
  • Analytical skills for proposal evaluation and Total-Cost-of-Ownership calculation and modelling
  • Structured, critical and practical thinking in order to break down or build processes and think “outside of the box”
  • Experience in negotiations tactics and business deal structuring is an advantage
  • Strong project/process management skills and mind-set
  • Attention to details at deliverables, daily routines and complex task management
  • Ability to work on multiple priorities and under time pressure with accuracy and efficiency
  • Flexibility in adapting to changes in the environment, expectations and priorities
  • Good MS Office knowledge (Excel, PowerPoint, Word, Outlook) is a must
  • Team player with ‘can do’ and ‘hungry for learning’ attitude
