Airport Development Back Office Supervisor 

Based in Budapest 

 

 

Purpose of the role

The Airport Development Back Office Supervisor is primarily responsible for managing all types of supporting tasks in relation with keeping records, contracts, deals and any kind of support deals negotiated and arranged, concluded by the Airport Development Team 

  • Keeping daily contact with the Marketing, Finance and Controlling departments to make sure all and each support deal be managed, relevant reports prepared and sent, and the support collected.  
  • Maintaining the companies contract database regarding the contracts concluded by the AD team (Airport Service Agreement, SGHA-Ground Handling Agreements, Commercial Agreement for airport fee collection and all kind of Support Agreements) and managing the necessary signature process of them.  
  • Running relevant airport/GH price modelling to support the ADM’s whenever is required and to signal necessary negotiating when required.  
  • Making all kind of support tasks needed for setting, adjusting  and following up the Airport/GH budget airport by airport and total, yearly, quarterly and monthly are also part of the ADBOM’s tasks. 

Responsibilities

  • Commercial Agreement negotiation together with the responsible ADM 
  • WICKS/Skymetrix deal upload/management 
  • Ariba, contract management of all Apt/GHA/Mktg, Commercial contracts –  help with system development 
  • Signatures arrangement, send hardcopies to the partners  
  • Preparing and coordinating execution of media plans  
  • Preparing monthly, quarterly, and yearly marketing reports   
  • Invoicing – marketing and route incentives 
  • Monitoring changes in financial conditions and adjusting WICS for proper month end closing/year end closing/budgeting   
  • Supporting automatization tasks and performing system testing 
  • Skymetrics implementation, testing ) 
  • Maintain relationships across the company with relevant departments for being able to execute the tasks properly (Marketing, Network, Finance, Controlling, Payments, Legal) 
  • Assistance in Developing forecasts and proposals to improve efficiency and reduce costs. Providing ad-hoc reports on airport cost related issues to the Head of Airport Development and to Finance, Controlling.  
  • Introducing any airport or ground handling related changes in charges and fees into the relevant airport data sheet immediately. 
  • Participate in the preparation of the yearly airport and ground handling budget and follow-up with Head of function and Controlling on the monthly cost development and progress of cost saving projects. 
  • Participate in the new base opening projects, by pro-actively supporting the other deals needed for a new base (crew room, fuel supply, parking, transfers, etc.). 
  • Assisting in Organizing and managing airport/Ground Handling Agency selection tenders. 
  • Supervise checking of airport invoices and reports, liaise with AP-s to handle discrepancies. 
  • Assistance and arrangement of automated SLA related processes/invoicing/offsetting 
  • Act as deputy for the Airport Development Back Office Supervisor (ADBOS). 

Key Performance Indicators:  

  • Conclude all and each support (Marketing or gov) deal timely, no leakage is allowed 
  • Fee items of each Airport/GHA must be maintained and kept up to date, daily bases 
  • Contract signature procedures must be managed and arranged within fixed timeframe 
  • YoY unit cost decrease by airport/market and by service provider/market 

Experience

  • Any experience in financial administration and/or financial modeling and analysis 
  • Experience/knowledge related to purchasing or sales or airports related experience are plus, but not requirements 

Hard skills

Advanced User level computer skills (deeper knowledge is and advance) 

Education

Bachelor’s or Master’s Degree 

Language

  • Fluent English (both written and spoken)  
  • Second European language is an advantage

  • Excellent communication, presentation and influencing skills 
  • Advanced/proven negotiation and interpersonal skills 
  • A self-motivated individual with demonstrated capacity for ownership, and responsibility 
  • Ability to work independently with strong drive towards exceeding the set goals
