C-Suite Executive Assistant 

Based in BUD - Office 

 

 

Purpose of the position:

Business Assistant is responsible for providing comprehensive support to the CEO, Board of Directors, and Executive Team, manage affairs with the Board, and internal and external stakeholder. The role is also responsible for providing personal assistant support to the Group CEO on business travel, meeting management, and corporate event organization.

Responsibilities:

  • Managing travel and related logistics (flights, hotels, transfers, visas, etc.) for the Group CEO and Board members;
  • Supporting the CEO`s family during travel;
  • Meeting management: Managing diaries, scheduling and coordinating meetings conference calls with internal and external stakeholders and organizing the board meetings;
  • Looking at the CEO’s long term travel calendar, evaluating opportunities and determining fit with priorities to ensure the CEO’s efficiency;
  • Defining Corporate calendar for the organization (Plc. And subsidiary board meeting dates, corporate events, Leadership group events and travel, etc.);
  • Event and cross-functional project management: organizing and arranging internal and external corporate events involving large number of people and complex logistics (Christmas party, Ski trip, Officer Away day, Management away day, Company anniversary, Flyaround etc.);
  • Managing the day-to-day administration (expenses, reports, minutes, signature processes) supporting the Group CEO;
  • Supporting the Leadership team and overseeing the Assistant team;
  • Serve as primary contact of the GCEO within the organization
  • The role 80-90% office based with 10-20% travel

 

 

Requirements:

  • Completed College or University degree;
  • Fluent in English (both speaking and writing), additional language is a plus, but not a requirement;
  • Strong sense of initiative, have the ability to anticipate needs and a proactive style to work on own projects and able to prioritize and work to tight deadlines;
  • High degree of computer literacy;
  • Excellent organizational skills, experience in arranging large business events is an advantage;
  • Able to manage pressure and conflicting demands and priorities;
  • Can do attitude, positive, reliable and energizing;
  • Excellent verbal and written communication;
  • Attention to detail and the ability to deal with sensitive and confidential information;
  • Strong interpersonal skills;
  • Ability to research and source ad hoc information independently
